In Brazil, Proceda messages are now one of the best ways to approach the communication challenges faced by the distribution chain. This is a set of EDI messages specific to the logistics sector, which allow manufacturers and carriers to exchange operational information automatically through electronic communication systems. This translates into increased productivity and efficiency, resulting in cost savings.

Proceda communications are carried out in a standardized txt format, which includes a number of additional fields. We can currently distinguish five message types. Two of them are compulsory in nature, in other words, they are crucial for the logistical communication flow. The remaining three are deemed conditional, so they are only sent if both parties, manufacturer and carrier, are interested.

 

What are the mandatory messages?

  • NOTFIS (Tax Invoice Data). A message generated by the client to transmit electronic copies of invoices issued to the carrier (or third parties) so that the transport can take place smoothly.
  • OCOREN (Occurrence in Delivery). A communication sent by the carrier, informing the client of the status of the goods and their delivery situation.

 

What are the conditional messages?

  • CONEMB (Shipped B/L). The purpose of this message, sent by the carrier, is to provide the client with a copy of the “bills of lading”.
  • DOCCOB (Billing Document). A message generated by the carrier which contains a copy of the invoices issued for the services rendered, so that the client can arrange payment.
  • PREFAT (Transport Services Pre-invoice). A document issued by the client containing the list of documents (Romaneios or Packing Lists, CT-e…) that the carrier may receive.

It should be highlighted that these messages have an operational and functional use for customers and logistics operators. In other words, their use does not relieve manufacturers and logistics operators from the issuance of electronic tax documents for the relevant public authorities in Brazil. As stipulated by the Brazilian legislation, this electronic invoicing document is essential for the movement of goods.
