The electronic invoice route step by step

When you need to send an electronic invoice, there are only two steps that you really care about: sending it correctly and making sure that your customer will receive it. However, your e-Invoice makes several stops on its route to your customer before finally getting there.

Some people think that creating an electronic invoice is as easy as scanning a paper-based document and emailing it to their customer. But when your company must do e-Invoicing on a larger scale, this system may be too rudimental, and will not be able to cope with security and integrity requirements. The process of a real e-Invoice is more complex, even if, thanks to electronic invoicing software, you don’t need to worry much about it.

First of all, the invoice needs to be created. Through our Ediwin viewer, a low cost and high performance solution, you can compose your e-Invoice through a simple and intuitive web form. Thanks to this solution, documents like Purchase Orders can be automatically turned into invoices too. With an integrated solution, like Ediwin XML, this document will be automatically created from your own ERP.

What’s next? Once the digital invoice is created, data structure and standards must be transformed in order to match those expected by the receiver. In our case, this is automatically done in the EDICOM B2B Cloud Platform.

To finally get to your customer, this e-Invoice will be sent via the communication protocol required in each case. Even if he has no EDI solution implemented, he will still be able to see this e-Invoice online thanks to the BUSINESS@MAIL solution.

The international e-Invoice route

In other countries, the e-Invoice’s journey to customers can be slightly longer. In countries where compliant e-Invoicing is mandatory, some extra information must be added to the invoice.

Imagine your company was making business in Mexico. First of all, the data structure and standards of the e-Invoice would be transformed into those stablished as legal. Before reaching its customer, each invoice is complemented by a unique identity code, which will allow the fiscal administration to track it down for tax control. Once this is achieved, the document is ready for delivery.
