Adapt to B2B inbound and outbound e-Invoicing

fattura B2B

Italy will take the definitive step in B2B e-Invoicing in 2019 when it moves beyond B2G and e-Invoicing becomes compulsory both between private companies. With the approval of the Legge di Bilancio 2018 regulation, it is expected that the enforceability of e-Invoicing in the B2B field will be extended across all private firms operating in the country, beginning with fossil fuel companies and subcontractors from 1 July and then expanding across the board as of 1 January 2019.

A period is beginning in which companies must adapt to the management changes the new law entails. At the same time, it’s a chance for companies to reflect on where and how far they want to go in this area. A firm commitment to an extensive digital transformation that allows a company to leverage all the advantages of operating with e-Invoices and other documents via an EDI solution will be a qualitative leap forward for the business community. Italian firms have the chance to become more efficient and competitive in their environment and in a global context.

Automation of e-Invoices compared to manual management

All companies are both invoice issuers and recipients. If they are efficient in issuing them they should be efficient in receiving them, too.  e-Invoicing solutions of the type afforded by EDICOM quickly, efficiently, and securely deliver on the e-Invoicing mechanisms established under Italian law in both the B2G and B2B environments and in document issuance and reception.  They provide added value to business management by automating the complete flow of message exchanges, i.e., inbound and outbound, compared to other systems such as manual issuance over the SdI (System of Exchange) portal or issuance and reception via PEC(Posta Elettronica Certificata).

This is how the two flows would work for complete electronic adaptation:

  • Outbound: After capturing data from the supplier’s ERP, the platform developed by EDICOM generates the file in the required format and redirects it to the Sdl platform, which sends it on to the recipient.
  • Inbound: The supplier sends invoices to the Sdl which forwards them to EDICOM, where a format conversion is applied to adapt the file for direct integration in the ERP.

From e-Invoicing to digital transformation

Introducing a comprehensive electronic data interchange like the one afforded by EDICOM gives businesses a single platform to connect and establish instant and secure commercial relations with any partner anywhere in the world. It also adapts to each customer's needs (turnover, resources) to deliver the right solutions.

Why choose the EDICOM e-Invoicing solution?

  • Scalability: Opens up new possibilities for adapting solutions to business needs and growth. A multistandard, multiprotocol platform that lets you work with any ERP and public or private partner around the world.
  • Internationalization: EDICOM global solutions power connections with over 65 countries across the planet, adapting to the technical and legal requirements of each country.
  • Security and accreditations: EDICOM solutions guarantee full security of interchanged information, with Information Security and ICT Service Management certifications (ISO 27001, ISO 20000, ISAE 3402), in addition to being an eIDAS-qualified service provider of electronic signature and stamping, time stamping, and digital stamp conservation services.

What matters is taking things beyond mere compliance with legal obligations to harness different corporate spheres (tax, labor, commercial, etc.) and implement a work system that delivers major benefits to the organization as a whole.

Advantages of the automation of B2B e-Invoicing

Automating inbound and outbound data processes and integration in a company’s ERP system positively impacts:

  • Administrative process efficiency. Invoice generation, issuance and dispatch, cutting times and reducing errors with respect to manual invoice handling.
  • Expenditure, by eliminating paper along with printing, mailing, and filing costs.
  • Human error. Automation reduces and even eliminates errors in generating and sending invoices and receiving and managing incoming ones.
  • Shorter delivery and invoice collection times. Online management cuts turnaround times as dispatch and reception are immediate.
  • Enhanced commercial transaction security. Billing is done using private networks or dedicated protocols like AS2, FTPS, Web Services, etc., while digital signature systems ensure invoice integrity, source, and authenticity.
  • Invoices are received and integrated automatically. Validation and annulment processes can be automated on the basis of the information contained in the document. An electronic document can be integrated into ERP automatically and therefore posted automatically as well, leaving it ready for payment with practically no human intervention.
  • Elimination of paper from daily administrative tasks. This has major cost savings and makes an important contribution to environmental sustainability.
  • Fast, secure, and standard invoice storage. The EDICOM solution provides effective control of the record-keeping system, filing all invoices in accordance with the law.
